VCI Systems reduces IT costs by 40% for established SME

Reading-based VCI Systems recently helped an established SME reduce its annual IT costs by 40%, which is equivalent to £20,000.  As a direct result, the client also increased service reliability and improved remote working performance.

For 25 years, VCI Systems’ client has been providing specialist recruitment services to a wide range of well-known companies. The company also runs an educational and information sharing forum for the recruitment sector, with over 200 members. Both operations are highly dynamic and depend on multiple database access along with other business-critical applications and systems.

In March 2020, with access to its London office significantly restricted, the company faced a huge challenge to deliver remote working facilities for its 30 staff. The existing on-premise network had limitations in supporting multiple users working from home.

The servers and information security systems were office-based and maintenance of them had already become a significant risk factor to the business. Furthermore, the method used for remote connection to the main database was problematic and the software vendor did not support a solution. Ultimately, it was leaving users frustrated and causing data parity problems with ‘local’ and ‘remote’ files.

VCI created a multi-server system with full fail-over capability/back-up for the company, operating out of a modern data centre to provide high performance, resilience and security.

All applications were successfully ported to the new environment, including Office 365, email filtering and secure, reliable VPN connections for the 30 users.  This digital transformation program was achieved with minimal business interruption, inside the required time frame and on budget.  Full, rapid-response, end-user support service from highly experienced engineers is a key part of VCI Systems’ solution.

Robert Creech, VCI System’s Managing Director said “Making the switch to a new IT Support company can feel like a big risk in this sort of situation.  This client felt able to trust us right from the start, because we listened and understood exactly what they needed, and then provided uncomplicated solutions quickly and effectively.”

Results

  • Significantly greater IT service delivery performance, reliability, business risk reduction and enhanced user experience.
  • Over £20,000 costs avoided through obviating the need to replace servers approaching their end of life.
  • Major cost-saving from downsizing the London office and not having to accommodate IT systems hardware.
  • Far greater service delivery flexibility and scalability to suit the company’s business evolution.
  • Much more rapid, effective, proactive response and resolution to problems than the previous incumbent supplier was able to achieve.
