With VirtualSignature’s new document and eSignature coding system, its clients can now add signature fields to any document they’re working on (including Word or Excel) before immediately sending for electronic signing.

Some clients with advanced IT capability use API (Application Programming Interface) with the VirtualSignature platform, which means the end user’s documents and templates are already automated.  For other firms without this capability, the process of creating and sending documents for signature involves logging on to the VirtualSignature portal, importing a document, indicating where signing fields are required, then sending.  Often, that document or template will change, either with a new recipient name and address or with additional or reduced text, also resulting in a change in position of the signing field on the page.  For each change, they need to upload the updated document and add the position of the signature field again.

Saving time and resource

With SmartTags, clients are provided with a code for electronic signing, witnessing and fillable text fields that they can insert whilst creating their document, meaning any subsequent amendments to that document can be easily implemented.  Rather like Mail Merge, they have the control over how their template is customised, before it gets sent out.  The VirtualSignature portal is still used for sending the document, in order to produce an OTP (One Time Password) for the recipient as well as a full audit trail, ensuring data security is not compromised.

Existing technology now ready for today’s market
